In Team GPS, you can save time by importing new manual KPIs and uploading KPI data in bulk using Excel. This article walks you through the full process, broken into two key parts:
Creating Manual KPIs (individually or in bulk)
Uploading KPI Data in bulk once the KPIs exist
⚠️ Before uploading any KPI data, the KPI must already exist in your Success Measures list. If it doesn’t, the import will produce errors where KPIs do not already exist.
Step 1: Create Manual KPIs (Individually or in Bulk)
Create Individually
To manually add a new KPI:
Go to Admin Settings
Expand the Organization section
Click Success Measures
Click the “+ New Success Measure” button and complete the form
Create in Bulk via Excel
To bulk upload multiple new KPIs:
From the Success Measures screen, click the gear icon in the top right.
Select Download Sample File
Fill out the downloaded Excel file. Required fields include:
Name – Name as it will appear on scorecards
Frequency –
Daily
,Weekly
,Monthly
, etc.Measure Type –
Number
,Percent
, orCurrency
Source – Optional reference (e.g., HubSpot, ConnectWise)
Who can edit – Either
Manager & Admin
orEmployee, Manager & Admin
Tag – Optional categorization
Active – Set to
TRUE

Return to the Success Measures screen
Use the Import KPI Data button to upload the completed file
⚠️ This step only sets up KPIs in the system. It does not add any actual KPI values to scorecards yet.
Step 2: Upload KPI Data in Bulk
Once your KPIs are created, you can upload performance data for employees using Excel.
Go to Admin Settings > Organization > Success Measures OR from the My Dashboard > Your Scorecard widget
Click the Import KPI Data button at the top right
In the Pop-Up Window:
You’ll see an option to Download a Sample File. This shows the correct format.
You can also select recipients to receive an email summary of the import results. This supports multi-select.
Fill Out the Excel Template:
Each row represents one KPI value for one user on a specific date. Required fields:
Email – The employee’s email address
KPI Name – Must match an existing KPI in TeamGPS
Frequency – Should match the KPI’s configured frequency
Date – Date the KPI value applies to
Value – The actual numeric value to be recorded

Upload the File:
Drag and drop your completed Excel file into the import pop-up
Submit the upload
Email recipients (if selected) will receive a summary detailing:
Number of records processed
Successes and failures
Any validation errors (e.g., unknown KPI names)

KPI names in your data upload must exactly match what’s in the system
Always upload KPI definitions before trying to upload data for them
Use the email summary feature to confirm successful uploads or troubleshoot issues
