Review Cycle Setup

Begin by navigating to the Performance Management section within Team GPS and clicking Create Review Cycle.

Here, you'll initiate a new review cycle by naming it and selecting the employees you wish to include. Employees selected for the review cycle will receive the performance assessment.

In addition to initiating a new review cycle, Team GPS offers the functionality to edit existing review cycles or duplicate them for efficiency and convenience. Let's explore how you can leverage these features to streamline your performance management process:

  • Editing Existing Review Cycles: If adjustments are needed to a previously established review cycle, Team GPS provides the flexibility to modify various parameters. Simply navigate to the list of existing review cycles and select the one you wish to edit. From there, you can make changes to the review cycle name, included employees, assessment questions, and schedule. This capability enables you to adapt to evolving organizational needs and refine the performance management process seamlessly.

  • Duplicating Review Cycles: Duplicating an existing review cycle can save time and effort, particularly for recurring assessments with similar parameters. By duplicating a cycle, you retain all settings and configurations, allowing you to make minor adjustments as needed for subsequent cycles. This feature streamlines the setup process for repetitive assessments, ensuring consistency and accuracy across multiple review cycles.

By leveraging the ability to edit and duplicate existing review cycles alongside creating new ones, Team GPS empowers you to optimize performance management workflows, streamline processes, and drive continuous improvement within your organization.

Creating Performance Review Assessment Questions

When crafting assessment questions in Team GPS, you have the flexibility to tailor inquiries to gather comprehensive feedback from both employees and managers. Let's delve into the detailed process of creating custom questions:

Default Assessment Questions

Team GPS provides four default questions for both the self-assessment and the manager assessment. These questions serve as important data points that feed into Team GPS performance management reporting, offering valuable insights into employee engagement and satisfaction.

  1. First Question (Value Recognition): Employees are asked to rate how well the company recognizes their value, while managers are asked how they would respond if the employee received a job offer elsewhere. This provides insights into employee perception of value within the organization and managerial commitment to retaining talent.

  2. Second Question (Performance Impact): Employees are prompted to identify factors that would have the greatest impact on their ability to perform at their best, offering insights into organizational culture, coworker dynamics, and resource availability. Managers assess the employee's level of engagement at work, providing valuable feedback for upper management.

  3. Third Question (Identify Strengths): Employees are asked to highlight their strengths, providing insights into areas where they excel and contribute positively to the organization. Managers assess the strengths of their employees, recognizing valuable skills and contributions to the team.

  4. Fourth Question (Areas for Improvement): Employees are encouraged to identify areas for improvement, fostering self-reflection and development. Managers assess areas where employees can grow and develop, offering guidance and support for professional advancement.

Note: The data collected from these default questions directly contributes to Team GPS default Performance Management Reporting. By leveraging these default questions, organizations can gain valuable insights into employee engagement and employee value sentiments. These can also be viewed at a macro level for your organization allowing you to filter and show results by Manager, Department, or given Review Cycle.

Custom Assessment Questions

To add your own assessment questions and rating scales, begin by selecting +Add Question and then selecting the question type from the available options.

As you initiate a new question, you'll notice that it offers both a self-assessment and a manager assessment field. This dual setup allows you to simultaneously gather insights from both perspectives.

  • Self-Assessment: Enter the question in the self-assessment field to prompt employees to reflect on their performance or provide feedback about themselves.

  • Manager Assessment: Simultaneously, in the manager assessment field, frame the question tailored for managers to assess the employee's performance or provide feedback from their viewpoint.

If you intend to direct a question exclusively to either the manager or the employee, simply input the question in the respective field and leave the other side blank. This approach ensures clarity and relevance in the assessment process.

Team GPS offers two primary question types for customization:

  • Comment Question: This type provides an open-ended text box for respondents to input their responses freely. It encourages detailed feedback and allows for nuanced insights into performance.

  • Dropdown (Rating Scale) Question: Alternatively, opt for a dropdown question to implement a rating scale. Define rating options, such as "Excellent," "Good," "Fair," "Poor," etc., to enable respondents to rate themselves on specific criteria. You can also choose to add a comment box to a rating scale question giving the user the opportunity to explain why they selected a particular rating.

Personalization with Tokens in Questions

Utilize tokens to personalize manager assessment questions dynamically. For instance, when inquiring about areas of improvement, you can include the employee's name within brackets, such as "How could [Name] improve?" Team GPS will automatically insert the employee's name, enhancing the relevance and specificity of the question.

Question Confidentiality (Hide Question from Employee View)

Ensure confidentiality by utilizing the "Hide this question from the employee view" option available for manager assessment questions. Enabling this feature prevents the question from being visible to employees during performance reviews, preserving sensitive information and promoting a secure assessment environment.

Copy Questions

Streamline question creation by leveraging the "Copy Question" feature. Duplicate questions effortlessly to maintain consistency across multiple assessments or when evaluating similar competencies. This feature saves time and ensures uniformity in the assessment process.

By following these steps and utilizing the diverse features offered by Team GPS, you can create tailored assessment questions that facilitate meaningful performance evaluations and drive continuous improvement within your organization.

Define Review Assessment Schedule

After building the assessment, proceed to the assessment schedule section. Here, specify when you want the review cycle to commence and how frequently assessments should occur. Choose from options such as quarterly, semi-annually, or annually. Team GPS generates upcoming assessment windows based on your selections, and shows you a preview of the upcoming assessment windows.

Final Review and Launch

Before finalizing, review the selected employees, schedule, and assessment details. Once satisfied, save your settings and proceed to launch the review cycle. Team GPS ensures a seamless process, empowering you to efficiently manage performance assessments and foster continuous improvement within your organization.

Conclusion

Effective performance management is key to driving employee engagement and organizational success. By leveraging Team GPS's intuitive features, you can streamline the process of conducting performance reviews, gain valuable insights, and empower your workforce to thrive. Implement these steps to unlock the full potential of performance management within your team.
